How MindCare collects, uses, and protects your personal information.

Last updated: January 1, 2025  ·  Effective: January 1, 2025

The short version. We don't sell your data and we don't hand it to advertisers. We collect what MindCare needs to work and nothing else. The one thing worth knowing up front: if a chat session shows signs of serious distress, a counselor is told, because we'd rather be awkward than miss something.

01

Information We Collect

We collect information you provide directly to us and data generated through your use of MindCare.

We do not collect medical records or financial information, and we never ask for a government-issued ID. Your school ID photo is the one identity document we hold: it is collected only with your explicit consent at sign-up, is visible only to you and to guidance staff, and you can ask us to delete it once your account has been verified.

02

How We Use Your Data

Your data is used solely to operate and improve MindCare. Specifically, we use it to:

  • Create and manage your account
  • Power the AI chatbot and generate sentiment analysis results
  • Display your self-care planner and track daily progress
  • Send OTP verification and account-related emails
  • Allow platform administrators to monitor wellness trends and provide support
  • Improve the features and content of MindCare over time

We will never use your personal data for targeted advertising or sell it to third parties.

03

Data Sharing

We do not share your personal data with any external third parties for commercial purposes. Your data may be accessed in these limited circumstances:

  • Platform administrators — to monitor aggregated wellness trends and respond to distress alerts
  • Technical service providers — such as hosting and database providers, bound by strict confidentiality agreements
  • Legal obligations — if required by law, regulation, or a valid court order
04

Data Retention

We retain your personal data for as long as your account is active or as needed to provide our services. If you request account deletion, all personally identifiable data will be permanently removed within 7 business days.

Anonymized, aggregated usage data (not linked to any individual) may be retained for research and platform improvement purposes.

05

Chatbot & Sentiment Data

Conversations with the MindCare AI chatbot are stored securely and are used to:

  • Generate appropriate responses and self-care suggestions
  • Perform sentiment analysis (Positive, Neutral, Negative classification)
  • Alert platform administrators when signs of severe distress are detected

Sentiment results are visible only to guidance staff and platform administrators. They are not shown back to the student the analysis is about, and MindCare has no screen where a student can view the sentiment of their own sessions.

Distress alerts sent to administrators are anonymized where possible and are used only to offer appropriate welfare support — not for punitive or surveillance purposes.

06

Your Rights

You have the following rights regarding your personal data:

  • Access — request a copy of the data we hold about you
  • Correction — ask us to fix inaccurate or incomplete information
  • Deletion — request that your account and personal data be permanently removed
  • Restriction — ask us to limit how we process your data in certain circumstances
  • Objection — object to certain types of data processing

To exercise any of these rights, please contact our support team. We will respond within 7 business days.

07

Cookies

MindCare uses only essential cookies required for core functionality, such as maintaining your login session. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

You can control cookies through your browser settings, though disabling essential cookies may affect platform functionality.

08

Children's Privacy

MindCare is designed for students, some of whom may be under the age of 18. We take special care with data belonging to minors. We do not knowingly collect data from children under 13. If you believe a child under 13 has registered, please contact us immediately so we can remove their data.
